SECRETARY. Responsible to prepare regular meeting agendas and distribute
the agenda in advance via the Dyess Chiefs’ Group and retiree
e-mail group/listing and have a small quantity available at the meeting
site. Responsible to prepare, distribute, and maintain accurate minutes
of all meetings (i.e. regular, special, and EC meetings). Maintain,
publish, and distribute a current roster of active duty, retired, and
honorary Chiefs’ Group members. The secretary will handle correspondence
for the organization.
1.4. TREASURER. Responsible for all monies and accounts held in the
bank. Prepares a monthly and annual financial statement (income and
expense) reflecting monetary events occurring during a given period
and provide copies to 7 SVS/SVF. Prepares the annual statement in January
to reflect the previous year’s activity (1 January – 31
December). Prepares a balance sheet that accounts for total assets (coins,
money, etc.) of the Chiefs’ Group financial condition on a quarterly
basis (i.e. January, April, July, and October). Ensure federal income
taxes are filed IAW applicable law. Manage the Sharp Troop/Spotlight
Award Plaques.
2. ELECTIONS.
2.1 The Executive Council’s (EC) term of office will consist
of 12 months beginning 1 January through 31 December. Annual elections
will begin with acceptance of nominations from the November meeting.
The election will occur as an agenda item for the December meeting.
Election results will also occur at the December meeting. Newly elected
officers will assume control of the Dyess Chiefs’ Group anytime
thereafter but not later than 1 January.
2.2. A quorum must be present for any election to be valid (including
the number of electronic ballots cast). A quorum is defined in Article
VII, paragraph 2. A simple majority vote of the active members voting
will elect members to the EC (i.e. the candidate with the most votes
wins).
2.3. The EC will solicit two Chiefs’ Group members to preside
as the Election officials. These people will preside over the election
process for new EC members.
